Te Runanga o Kirikiriroa, ClientTracker

The Business
Established in 1987, Te Runanga o Kirikiriroa provides mental health and family services to Maori & Pacific Islanders living within the City of Hamilton (Kirikiriroa) in New Zealand.

Working across multiple sites, including their Head Office and residential & respite care facilities, Te Runanga is recognised within the community as a service leader in providing Alcohol & Drug Youth Treatment Services, Mental Health Day Programmes, Crisis Assessment Services and Residential Housing and Respite.

To provide these services, Te Runanga draws upon clinical and professional knowledge as well as local community and educational resources.

The Challenge
Te Runanga had tried a number of systems to manage their client services, primarily based around paper/data setups. This meant that despite using databases, records still needed manual storage in multiple filing cabinets.

In many of these cases, the database systems were simply too unwieldy and complex for staff to use effectively, meaning they spent more time working with the databases then with clients. Or the systems were not designed with a focus on mental health services, resulting in an inability to provide clients with premium care.

Issues also existed around ongoing support and maintenance of systems from providers, and maintaining a functional focus within the programs. These issues would affect time, money and client concerns within Te Runanga.

The Solution
In 2007 Te Runanga implemented ClientTracker throughout all of their locations, allowing them the opportunity to expand their services by providing a web-based clinical tool.

Through ClientTracker's Outcomes measures, it is possible to provide client care through the increased use of proven research methods, and ensure that clients receive in-depth, measurable treatment for mental health issues.

The flexibility of a ClientTracker's web-based platform allows for cross-service data-sharing across multiple sites, as well as the ability to monitor all clients' history files instantly from anywhere within in the organisation.

The Outcomes
With an organisation-wide implementation, ClientTracker now allows for Te Runanga to improve the efficiency of many of their services, particularly in the ability to quickly and easily run their Group Therapy programs.

Specifically, Te Runanga uses the research of a number of ClientTracker's Outcomes measures to monitor client mood disorders (Depression Anxiety Stress Scale), psychiatric rehabilitation (Activities of Daily Living Skills) and general health (HoNOS). Further, client goals of subjective significance are maintained through goal-setting tools within ClientTracker.

ClientTracker's web-based capabilities mean that Te Runanga are able to instantly share client information across their different sites, maintain client records from almost anywhere and simply retrieve previous care episodes through ClientTracker's archive module.

Much of the paper-based nature of health care at Te Runanga has also been replaced by ClientTracker's internal documentation methods, allowing for faster, clearer services provided to clients.

Te Runanga have also implemented an internal ClientTracker training programme, to ensure that the advantages of ClientTracker can be fully realised within the organisation.
